Registration Terms & Conditions

1. Agreement
These Terms govern registration for Sweeper Summit 2026 (“the Event”), organized by Members Marketing, LLC (“we,” “us,” “the Organizer”), [ADDRESS — to be provided]. By completing registration and payment you accept these Terms.
2. Registration Options and Pricing

Full registration includes admission to all sessions and the Outdoor Equipment Expo on both days, all meals from breakfast through the gala dinner, all-day beverages, and scheduled off-site group activities. It does not include travel, hotel accommodation, or anything not expressly listed. Hotel rooms are booked separately by you, directly with the venue.
3. Payment Plan and Authorization to Charge
If you select the Payment Plan:
- You pay $650 at the time of registration.
- The remaining balance of $1,000 will be automatically charged on October 1, 2026 to the same payment method used for your deposit, bringing your total to $1,650.
- By selecting the Payment Plan you authorize us to store your payment method and to charge it $1,000 on October 1, 2026 without further notice or action from you. This authorization is a condition of the Payment Plan.
- It is your responsibility to keep a valid payment method on file. If the October 1, 2026 charge fails, we will contact you at the email address you provided and you must pay the balance within 7 days. Registrations with an unpaid balance after that period may be cancelled, and the deposit is not refunded.
- Your registration is not complete, and admission is not guaranteed, until the full $1,650 has been received.
- The Payment Plan is available until September 30, 2026. After that date, full payment is required at registration.
4. Deposits, Cancellations and Refunds
- All registrations are non-refundable and all sales are final. This applies to Full Registration, the Payment Plan (both the deposit and the balance), Wednesday Only and Plus One. We commit to venue, catering and activity guarantees based on registration counts, and those costs are incurred well before the Event.
- If you are unable to attend, your registration is fully transferable to a colleague from your organization at no charge — see §5. This is the alternative to a refund.
- The only exception is cancellation of the Event by the Organizer, which is addressed in §7.
- Non-attendance without a transfer does not qualify for any credit or refund.
5. Substitutions
You may transfer your registration to another person from the same organization at no charge by notifying info@sweepersummit.com in writing at least 7 days before the Event. Substitutions requested inside 7 days are accommodated where practical but cannot be guaranteed, as name badges and catering counts are finalized in advance.
6. Changes to the Program
We may substitute speakers, adjust the agenda, or change session content, timing or format. Such changes do not entitle you to a refund. Exhibitor and sponsor participation is subject to change.
7. Cancellation or Postponement by the Organizer
If we cancel the Event outright, registered attendees will receive a full refund of all amounts paid, including any Payment Plan deposit. If we postpone the Event, your registration transfers automatically to the new date; if you cannot attend, you may request a full refund within 30 days of the postponement being announced.
We are not liable for travel, accommodation or other costs you incur in connection with the Event, and we recommend refundable bookings or travel insurance. Our total liability to you under these Terms is limited to the amount you paid us.
8. Force Majeure
We are not liable for failure to perform where caused by events beyond our reasonable control, including acts of God, severe weather, natural disaster, fire, epidemic or pandemic, government action or restriction, labour dispute, terrorism, or venue closure.
9. Photography, Video and Media
The Event is photographed and recorded. By attending you grant us the irrevocable right to use your likeness, voice and statements captured at the Event in promotional and educational materials across any medium, without compensation. If you do not wish to be recorded, notify staff at registration and we will make reasonable efforts to accommodate you.
10. Conduct
We expect professional conduct throughout the Event, including at off-site activities and evening functions. We may remove any attendee whose behaviour is disruptive, unsafe, harassing, or damaging to persons or property, without refund.
Equipment demonstrations, ride-alongs and the Outdoor Equipment Expo involve operating machinery. You participate at your own risk, must follow all safety instructions given by manufacturer and venue staff, and must wear any required protective equipment.

12. Governing Law
These Terms are governed by the laws of the State of Texas. Any dispute will be brought in the state or federal courts located in Bexar County, Texas.
